Job Description: Accounting Assistant

The Institute of Hazardous Materials Management is seeking a part time Accounting Assistant (25 hours/week). If you know of anyone who fits the description below and would like to apply, please forward as appropriate.

POSITION AVAILABLE
Accounting Assistant (part time 25 hours/week)

Responsibilities
. Prepares and assists with month close journal entries and financial statement reporting and other reports as required by management.

. Processes and records cash receipts in the Institute's membership database

. Assists Accounting Manager with certificant annual fee billing and ID cards.

. Reviews invoices and expense reports for accuracy, applying appropriate account codes or forwards invoices to the appropriate Executive Office staff for coding and approval. Works with outside vendors to correct errors and regarding inquires. Reconciles the corporate credit card and other detailed invoices.

. Assists the Accounting Manager with yearend audit functions.

. Provides back up to the Accounting Manager for accounts receivable, accounts payable, bank statement reconciliation, contracts administration and payroll.

. Responsible for ensuring compliance of the Institute's policies and procedures; assist in identifying process improvements and related efficiencies.

. Answers phones, receives general email inquires; handles routine telephone and email inquiries, directs others as appropriate; opens and distributes the mail, greets visitors and directs them as appropriate.

. Fulfills the Institute's book and affinity item orders.

. Cross-trains on test applications functions.

. Performs other duties as assigned.

Qualifications
. Minimum High school diploma; some college preferred
. 2-3 years of experience
. Knowledge of Generally Accepted Accounting Principles (GAAP)
. Proficiency in MS word, excel and database management. Quickbooks Pro experience preferred but not required.
. Flexible and willing to accept training and learn new skills
. Detail oriented and strong analytical skills with the ability to meet deadlines and communicate effectively with staff and vendors
. Excellent administrative skills and ability to multi task; Reliable trustworthy and responsible
